This Privacy Policy explains how The Pearl an AI Agency collects, uses, stores, and protects personal information. It applies to our website, services, discovery calls, podcast, email communications, and social media platforms, including Facebook and Instagram.

The Pearl an AI Agency is a sole proprietorship registered in Ontario, owned and operated by Jocelyn Robbins. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL).

Jocelyn Robbins is responsible for how we handle personal information. Contact details are in Section 11.

We collect only what we need to communicate with you and provide our services.

Information you give us directly:

• Name, email, phone number, and business details from our contact form, growth assessment, or booking system
• Information you share during discovery calls or consultations
• Messages, comments, and replies on our social media accounts

Information from public sources:

• Business contact details (name, title, work email, company) that are publicly published, used to contact businesses about our services

Recordings:

• Discovery calls and consultations may be recorded and transcribed with your knowledge, to help us prepare accurate recommendations
• Podcast recordings, collected under a separate signed guest release

Website information:

• Cookies and basic analytics that show how visitors use our site. This information is grouped and not used to identify you.

• Responding to inquiries and scheduling meetings
• Preparing growth plans and proposals
• Delivering and supporting the services you've hired us for
• Sending business communications, in line with CASL
• Improving our services and content

We do not sell, rent, or trade your personal information.

We use AI tools to help deliver our services, such as transcribing and summarizing calls, qualifying inquiries, and drafting recommendations. A person reviews all growth plans and client recommendations before they are shared.

Every email we send includes our business name, contact information, and a way to unsubscribe. Unsubscribe requests are processed within 10 business days. You can also email us to be removed from our lists.

If you interact with us through a Facebook or Instagram application:

• Data access is limited to what you explicitly authorize
• Data is used only to respond, communicate, or provide services
• Data is not used for unauthorized marketing or shared with third parties

Our use of Facebook and Instagram data complies with Meta Platform Policies.

We use trusted service providers to run our business, including tools for customer relationship management, email, scheduling, call recording, automation, and data storage. These providers may only use your information to provide services to us.

Some of these providers are located in the United States or elsewhere outside Canada. Your information may be stored and processed there and may be accessible to authorities in those countries under their laws.

We protect personal information with:

• Password protection and two-factor authentication on our business accounts
• Access limited to authorized people only
• Administrative and technical safeguards against misuse or unauthorized access

• Prospects we have not worked with: deleted after 24 months without contact
• Clients: kept for the length of our agreement plus 7 years, in line with tax and business record requirements
• Call recordings: deleted after 24 months unless needed for an active client project
• Unsubscribe requests: kept permanently so we never contact you again

You have the right to:

• Request access to the personal information we hold about you
• Request corrections to inaccurate information
• Request deletion of your information where applicable
• Withdraw your consent at any time, subject to legal or contractual limits

We will respond within 30 days.

If you have concerns about how we handle your information, contact us first so we can resolve them. You can also contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.

If a breach creates a real risk of significant harm, we will notify the affected people and the Office of the Privacy Commissioner of Canada as required by law.

We may update this policy from time to time. Changes will appear on this page with a new revision date.

If you have interacted with us through Facebook or Instagram and want your personal data deleted:

1. Email us at jocelyn@aiagency-pearl.com
2. Include your full name, your Facebook or Instagram username, and the phrase "Data Deletion Request" in the subject line

We will confirm receipt and delete your personal data within 30 days, in accordance with applicable privacy laws.

You can also remove our app from your Facebook account settings.
